Using our facility

The Health Foundation of Greater Cincinnati makes it easy for your organization to use our Conference Facility and all its amenities. Nonprofit organizations are NOT charged a room rental fee to use the Conference Facility.

Hours of Operation

The Health Foundation of Greater Cincinnati Conference Facility is open from 8:30 a.m.-5:00 p.m., Monday through Friday (excluding holidays). Meetings outside of these hours will be considered by the Director, Conference Facility on a case-by-case basis.

Conference Rooms

The Health Foundation of Greater Cincinnati has nine conference rooms of various sizes to accommodate groups of up to 80 people. Two of the nine rooms can be set up in a variety of ways depending upon the needs of the meeting and room capacity. The lobby/reception area can be used for registration or for greeting guests.

Fees

The Health Foundation of Greater Cincinnati does not charge nonprofit organizations a room rental fee. All organizations who use the space will be responsible for the costs of food, beverages, banquet server during the meeting plus one hour before and after the meeting (required for food and beverage requests), room setup if the standard setup is not used, security costs, linens if round tables are used, photocopies done on-site, and any extra audio/visual items that must be rented. The Director, Conference Facility will review these arrangements during the scheduling process.

Nonprofit Price list

All nonprofit organizations may reserve and use the conference rooms free of charge.

A/V equipment: No charge for on-site equipment
*Rental equipment will be charged per item

Beverage service: Includes coffee, tea, bottled water, soda (Coca Cola products) and juice
Service for a meeting running less than 4 hours: $3/person
Service for a meeting running 4 hours or more: $6/person

Banquet server: $5/hr subsidized rate for eligible nonprofit organizations
$16.50/hr for ineligible nonprofit organizations
*Banquet server required for the length of your meeting, including one hour before and one hour after whenever food or beverages are requested

Room Reset: $60 for each room reconfiguration--only available in Rooms 500 and C

Linens: $10/table--required whenever rounds are requested

Security: $16.50 for the length of your meeting including 30 minutes before and 30 minutes after the meeting
* Charge assessed for all meeting held outside of business hours when a banquet server is not present

Catering

The Health Foundation of Greater Cincinnati Conference Facility has a preferred caterer that is used for all functions held on-site. The caterer uses the finest quality ingredients and features breakfast pastry, salads, cold trays, and hot food items made from scratch. A standard menu is available, but the caterer is willing to design special menus. Beverages

Beverages are prepared by the conference facility staff. Beverages cost $3.00 per person for meetings that are four hours or less, or $6.00 per person for meeting that are over four hours.

Banquet Server

When food or beverages are served during a meeting, banquet server fees are $5.oo per hour, based on availability. In addition to the hours of the meeting, the server fees apply for one hour prior to the meeting for setup and one hour after the meeting for clean up.

Room Reconfigurations

Conference 500 and Conference C are the only rooms that can be reconfigured. A $60 fee applies, and the meeting host must notify the Director, Conference Facility at least one week in advance.

A/V equipment

All nonprofit organizations may reserve and use the on-site A/V equipment free of charge.

Rental equipment will be charged per item.

Linens

Linens are required on each table when round tables are requested. There is a $10 cleaning fee for each linen. Organizations are not allowed to provide their own linens.

Security

Meetings held outside of business hours may incur a $16.50 per hour security fee and will be considered on a case-by-case basis.
